BUYER QUESTIONS
AI Implementation & Automation FAQs
These answers explain the boundaries of the MkOS offerings, from setup and usage to approvals and ongoing support. Your written scope confirms the implementation details before work begins.
What does MkOS provide?
MkOS offers AI implementation and managed customer and business operations: front desk, lead conversion, customer service, departmental workflows and AI visibility. Consulting engagements cover assessment, internal knowledge systems, content pipelines and custom development.
What is the difference between setup and monthly management?
Setup covers the agreed implementation, configuration, integrations, testing and handover. Monthly management covers monitoring, maintenance, review and the refinement allowance listed in the selected service.
What is the lowest-priced managed offer?
AI Front Desk starts at $2,500 setup and $995 per month. It covers one location, phone and website chat, up to two standard integrations and two monthly refinement hours. It includes 2,000 AI voice minutes and 2,000 website chat conversations each billing month. Overages and outside subscriptions are additional.
Does the assessment require a retainer?
No. AI Opportunity Assessment is $3,500 one-time for up to three processes in one team. It produces a written roadmap; implementation and ongoing management are separate engagements.
What are the monthly contract terms?
Managed services begin at launch, are billed monthly in advance and continue month-to-month with no minimum management term. Cancel before the next billing date to stop renewal. Consulting projects have their own agreed scope.
Which costs are additional?
Voice and website chat above the included pool, SMS, international calling, staffed answering, client software subscriptions, paid media and taxes are additional. Workflow execution costs outside the included communication usage are separately scoped. Custom integrations, extra locations and work beyond the stated scope require a written quote.
Are usage costs a fixed percentage of the fee?
No. Usage depends on conversation volume, workflow activity, models and architecture. An agreed usage budget makes the assumptions visible before launch.
What does a standard integration mean?
A connection supported by the relevant tools or their available APIs within the agreed scope. Compatibility, access and required subscriptions are confirmed before implementation. A custom connector is separately scoped.
What is a workflow?
An agreed process from a trigger to an outcome, with defined inputs, actions and exception handling. The written scope identifies its boundaries; one workflow does not imply unlimited tasks or integrations.
Can we keep our existing software?
Where supported integrations or APIs make it practical, the existing systems are the starting point. Discovery identifies limitations before implementation is quoted.
Who approves the AI’s actions?
Your team sets policies, operating permissions and escalation rules, and approves launch. Consequential exceptions go to the designated people unless an action is explicitly authorized within the agreed scope.
Is human staff included?
No. The agency manages the agreed systems, while the client supplies designated people for sales, support or operational decisions. Human staffing can only be included through a separate explicit scope.
What support coverage is included?
Automated monitoring runs continuously. Agency support is Monday–Friday, 9am–5pm Pacific, excluding holidays. Around-the-clock human response and contractual response times are separately scoped.
Do refinement hours include new workflows?
The allowance covers refinements to existing workflows and approved information. New processes and major integrations require separate scoping. Unused refinement hours do not roll over.
Can we select every package?
You can combine the five individual managed services. Connected Operations replaces Front Desk, Lead Conversion, Customer Service and Business Operations in the calculator; AI Visibility can be added to the bundle.
Does the bundle add together all standalone allowances?
No. Connected Operations has combined limits: one location, up to ten workflows across two departments, six standard integrations and twelve monthly refinement hours.
Does RAG eliminate inaccurate answers?
No. Retrieval can ground answers in approved sources and provide references, but generated answers can still be inaccurate. Knowledge systems need source maintenance, permissions and evaluation.
Do you guarantee sales, rankings or AI citations?
No. We scope deliverables and report measured outcomes, but do not guarantee sales, search rankings or placement in generated answers.
What determines a custom project quote?
The problem, source data, workflow complexity, user groups, integrations, acceptance criteria and deployment requirements determine the scope. Pilot and production can be quoted as separate phases.
How should we choose a starting point?
Choose a repeatable process with clear inputs, an identifiable outcome and a responsible owner. If several opportunities compete for attention, the assessment can produce a prioritized roadmap.
How much is required to start an implementation?
Standard service packages require 50% of the setup fee to begin; the balance is due after acceptance testing and before launch. Connected Operations uses 40% to begin, 30% at a working demonstration and 30% after acceptance, before launch. Your first management month is paid at launch.
Do we need a paid assessment first?
Start with a free introductory call. Clear, standard needs can proceed directly to a scoped package quote. The optional $3,500 assessment provides deeper process mapping and a written roadmap and is paid upfront.
Can we discuss additional installments?
Additional setup installments can be discussed before signing. The written proposal confirms the schedule and deliverables. Outside purchases are agreed and funded before they are incurred.
How much phone and website chat usage is included?
AI Front Desk: 2,000 voice minutes and 2,000 website chat conversations. Lead Conversion: 5,000 and 5,000. Customer Service: 7,500 and 10,000. Connected Operations: 15,000 pooled voice minutes and 20,000 pooled website chat conversations. Allowances reset each billing month and do not roll over.
What do overages cost?
Additional AI voice costs $0.20/minute. Additional website chat costs $0.10/conversation. Front Desk using 3,000 voice minutes and 3,000 website chat conversations costs $1,295 for that month, excluding setup and separately priced extras.
How are minutes and conversations counted?
Voice counts AI-connected time, excluding ringing and time after human takeover. One customer on website chat counts once in a fixed 24-hour window starting with the first message; reopening within that window does not count again. A new interaction after the window starts a new conversation. Individual messages are not counted separately.
Can we control overage spending?
Usage alerts are sent at 80% and 100% of each included allowance. Your overage spending limit and the fallback when it is reached are agreed before launch. The system can route new inquiries to an agreed human, voicemail or contact form; the written scope confirms which option is available. No unlimited overages are assumed.
Can purchased packages share their usage?
Yes. Standalone communication package allowances add into one client pool, and an interaction is counted once. Connected Operations uses its own 15,000-minute and 20,000-conversation pool across its included functions and replaces the overlapping individual packages. Business Operations and AI Visibility add no voice or chat allowance.
