An illustrative onboarding process
A signed agreement arrives. The workflow checks required information, creates the approved customer record and tasks, prepares an onboarding message and alerts the responsible team. Missing data goes to an exception queue.
A signature does not automatically authorize every downstream action. Contract changes, payment permissions and unusual commitments need defined decision gates. Testing covers missing fields, duplicate submissions and unavailable systems.
Document processing needs exception handling
AI can help extract information from documents, but formats and quality vary. We agree required fields, validation rules and which uncertain results need human review before a record is written to a business system.
The starting scope includes supported integrations. Custom connectors, large historical data cleanup and specialized regulated workflows require additional assessment and pricing.
Measure completed work, not activity
Useful measures include completed workflows, rejected or incomplete inputs, manual interventions and time spent resolving exceptions. A workflow that fires successfully is not necessarily a completed business outcome.
Monthly management includes four standard integrations, maintenance and six hours of refinements to existing workflows. New processes or major integrations receive a separate scope.

What counts as a workflow?
An agreed trigger-to-outcome process with defined inputs, actions and exceptions. Related branches may be included, but scope is confirmed in writing so a workflow is not an unlimited collection of tasks.
Can the system approve payments?
Payment preparation and routing can be considered. Authority to approve or release money is a consequential permission that must be expressly defined and may remain with your team.
Does the monthly fee include building new processes?
It includes the listed refinement allowance for existing workflows. New workflows, major integrations and additional departments are separately scoped.
Does Business Operations include phone and website chat usage?
It adds no separate communication allowance. Phone and website chat use the pool from your purchased Front Desk, Lead Conversion, Customer Service or Connected Operations package. Without a communication package, phone and chat are separately scoped. Workflow execution costs are measured and scoped before launch; five workflows in one department remains the scope boundary.
