Where lead conversion breaks down
An inquiry may arrive through a website, a phone call or an existing customer record. Without a consistent process, details are incomplete, follow-up is delayed and salespeople work from different versions of the same opportunity.
The first job is to agree what a qualified opportunity looks like: service fit, geography, customer need and the information a salesperson requires. Automation then follows those rules and updates the pipeline.
A practical three-workflow implementation
One workflow can capture and qualify a new inquiry. A second can coordinate follow-up or appointment booking. A third can revisit eligible dormant leads. The exact combination is agreed around the business process and supported tools.
For example, a prospect requests a consultation, answers qualification questions, receives an eligible appointment and enters the CRM with the relevant notes. If a reply needs negotiation or a price exception, the salesperson takes over.
Follow-up needs operating rules
Your team approves message content, permitted channels, outreach eligibility, stop conditions and escalation. Existing opt-outs and customer preferences need to flow through the connected systems.
This package does not include purchased contact lists, paid advertising or outside appointment setters. New lead generation and conversion of existing inquiries are separate scopes; we confirm which sources the agreed pipeline will handle.
Measure progress through the pipeline
We report qualified opportunities, response and follow-up completion, appointments and unresolved handoffs. Where your CRM supports it, the process can connect opportunities to recorded sales outcomes.
A booked meeting is not automatically revenue. Reporting should distinguish inquiry, qualified opportunity, appointment and closed sale. Monthly management includes four hours of refinements within the existing scope.
Questions about this service
Does this include generating new leads?
The starting package manages one lead pipeline through agreed qualification, follow-up and reactivation workflows. Prospect sourcing, advertising and outbound campaign production are separately scoped.
Can it send quotes or negotiate?
It can use approved information and route requests. Automated pricing, quote preparation and negotiation authority require a defined scope and approval rules; consequential exceptions go to your team.
What tools can be connected?
The package includes up to three standard integrations. We confirm the CRM, calendar and communication tools, their access requirements and any outside subscriptions before launch.
What phone and website chat usage is included?
Each billing month includes 5,000 AI voice minutes and 5,000 website chat conversations. Extra AI voice costs $0.20/minute and extra website chat costs $0.10/conversation. Standard domestic carrier costs and AI processing are covered within these allowances. SMS, international calling and staffed answering are separate. Connected Operations pools its allowance across its included functions; standalone package allowances are not added to that bundle.
